Ovatapp is a procurement product operated by ImpliedConceptsAI FZE. This policy explains how we collect and use information when businesses use Ovatapp to source materials, manage supplier conversations and coordinate procurement through WhatsApp and our website.

Information we collect

Depending on how you use Ovatapp, we may collect your name, business name, phone number, WhatsApp number, city, delivery location, product requirements, supplier profile, quotes, order information and messages sent through the service.

How we use information

• To identify buyers and suppliers and route conversations to the correct business.
• To understand product requirements and create RFQs.
• To match buyers with relevant suppliers.
• To send and track quotes, order updates and service messages.
• To prevent duplicate messages, fraud, misuse and unauthorized access.
• To operate, secure and improve Ovatapp.

AI-assisted processing

When enabled, AI service providers may process message text and current RFQ draft details to classify buyer intent and extract product specifications, quantities, delivery locations, required dates and supplier onboarding details. Ovatapp does not send WhatsApp sender phone numbers or account IDs as separate fields in these AI requests, but contact details included in message text may be processed. AI output is validated and does not approve buyers, open RFQs, select suppliers, set prices or place orders without the required buyer or operator action. Ovatapp does not use messages to train its own models. The AI provider processes submitted data under its terms and applicable data-processing settings.

WhatsApp and Meta data

When you communicate with Ovatapp through WhatsApp, we may process phone numbers, message content, message identifiers and delivery status information provided through the WhatsApp Business Platform. We use this information to provide the procurement service requested by buyers and suppliers. We do not sell Platform Data, use WhatsApp message content for advertising, or use it to build advertising audiences.

Sharing information

We share information only as needed to provide the requested procurement service, such as sharing an RFQ with selected suppliers. We do not expose one supplier's private pricing or quote to another supplier. We may use service providers for hosting, messaging, storage and security under appropriate confidentiality obligations.

Catalogs and media

Supplier catalogs, product images, technical documents and buyer or supplier message attachments are used to organize RFQs and support quote and order workflows. Media is kept private to the relevant business conversation and is not published publicly without approval. We may apply access controls, malware checks and retention limits to uploaded files.

Retention and deletion

We keep information for as long as needed to provide the service, maintain business records, resolve disputes and meet legal obligations. You may request access, correction or deletion of personal information by contacting support@ovatapp.com. Some records may need to be retained where required by law or for legitimate security and dispute purposes.

Security

We use access controls, scoped business data, webhook verification and audit records to protect information. No online service can guarantee absolute security.

International processing

Ovatapp may use service providers in countries other than your own. We take reasonable steps to protect information when it is processed internationally.
